Emails from Guardian

Guardian emails your organization at the moments that matter. Each email is sent at most once, to your organization’s contact address (or to its first administrator if none is set).

These are about your account, your money or your security, so they are always sent:

Email When
Payment received After each payment, with the plan, amount, reference and the date it runs until.
We could not take your payment When an automatic renewal fails, with the date your plan keeps working until.
Your card is about to expire Once, when the card a subscription renews on expires within 30 days (or already has), so the next renewal does not fail. Only subscriptions that renew by themselves paid by card. Guardian keeps just the last four digits and the expiry date, never the card number.
Your plan ends soon 7 days and 2 days before a plan that will not renew by itself ends.
Your plan has ended When a plan ends and the account moves to Free, with what happens to any extra devices.
Your trial ends tomorrow The day before a trial ends, if you have not paid.
Your device limit has been reached When a device is turned away because the plan is full, at most once a day.
Your data will be deleted in 5 days For a cancelled account, five days before deletion.
Email verification and password reset When you ask for them.

These go to the individual’s own address (not the organization’s), and are always sent:

Email When
You have been added to your organization When an administrator adds someone who has an email address on their profile. It names the organization, role and username and links to sign-in. It never contains a password: the administrator gives that to the person directly. Sent once per person, and at most 20 an hour per organization.
Your Guardian password was changed Every time a person’s password changes: they changed it, they used a reset link, an administrator reset it, or Guardian support reset it. It says how, and tells them what to do if it was not them. It never contains the password.

A person with no email address on their profile simply gets no email; nothing else is affected.

Email When
Welcome to Guardian Once, when the first person confirms their email address, with the quickest way to connect a device.
Your first device is connected Once, when your first device reports in, with suggested next steps.
Ready to connect your first device? Three days after signing up, if no device has connected.
Your week in Guardian Mondays, for organizations with at least one device: devices online, new and open alerts, incidents opened and resolved over the last seven days. Sample (sandbox) devices are not counted. Sent once a week.

A Superadmin can turn these off under Settings → Organisation → Product emails. The “always sent” emails are not affected.

Alert notifications are a separate feature: where they go is set under Notification Channels and Alert Routing.
